Location: Peacemarsh

Hours: Part-Time: 25 hours per week, Monday-Friday

Key Responsibilities:

• Create job adverts for vacancies on the company website, Indeed, internal mail outs

• Maintain the Careers email in-box and forward applications to the appropriate department

• Arrange interviews, liaise with candidates, issue regret letters and on-hold letters to unsuccessful applicants

• Entering new employee details on to the HR System, and processing changes, leavers, and changes to personal details

• Creating new contracts of employment, change of contracts letters, and leaver letters

• Administration of Pre-employment checks (eligibility to work, references etc)

• Communicating details of new starters to the relevant people

• Creating diary reminders for probationary reviews and chasing managers

• Ensuring that all new employees are correct entered on the EPOS Cybertill system, granting permissions for users and allocating account numbers, and all leavers are correctly deactivated

• Monitoring temporary contracts

• Calculate pro-rata holiday

• Front line contact for answering the telephone and dealing with any queries, highlighting and escalating complex queries to the HR Manager

• Responding to requests for references and providing current employees with confirmation of employment requests

• To maintain accurate, current, comprehensive, secure and neat individual electronic personnel files for all current and ex-staff in line with agreed personnel filing standards

• Ensuring that all sickness absence is recorded and collated for payroll purposes, including highlighting any concerns or issues to the HR Manager and relevant line manager

• Taking accurate and detailed minutes of formal confidential investigations and meetings

• To mail out employee correspondence and other communications related to HR

• To provide administration support for the annual salary review, annual Company Bonus Scheme and Department Incentive Scheme


• Previous experience in an HR Administrative position

• Excellent written and spoken communication skill

• Attention to detail and accuracy in all working practices

• Computer literate in Microsoft Office, specifically Excel, Word and Outlook

• Able to demonstrate an excellent organised approach to work

• Confidence to work under own initiative, yet take direction well

• Able to plan and manage own time effectively

• The ability to work flexibly

• Must operate with utter discretion and keep all information confidential and, where appropriate, secure and complying with the Data Protection Act
